Training Tasks for Administrators

A list of tasks to delegate to your team for training and understanding

Welcome to Propra training!

The goal of this training is for you to feel confident with understanding your workflow as well as your resident, owner, and contractor experience.

During training, we’ll walk through your core monthly property management tasks using a test property and tenant. This way, you’ll get hands-on practice without affecting your live data.

We’ll cover how to:

  • List a campaign (rental listing) and share it with yourself as a tenant

  • Complete a test application, approve it, and sign a lease

  • Conduct inspections

  • Submit and manage maintenance requests

  • Send notices, share documents, and add violations

  • Terminate a lease and issue a deposit

Why It Matters

Each training session builds on the last, so it’s important to complete them in order. By following the process step by step, you’ll gain the confidence and skills to manage your properties independently each month.

1. Account Settings

  1. Login to your account and create your password.

  2. Go to Settings > Account > My Profile

  3. Select the pencil icon and edit your details - add your signature and phone number

  4. Turn on ALL of your notifications so that during training you can see the communication that is sent not just to you but to your team as well

  5. Go to Lease and Unit > navigate to the Documents tab

  6. Add Lease Document (if not already done - this is your lease document that you send to your applicants)

  7. Complete the lease set up adding the fields necessary - search for House Rules in the categories listed on the left side and add them to the lease form where it either gives an option for additional information or a space to place additional rules that the applicant must initial or sign

  8. After completing the lease form scroll down in the documents tab to Application Terms and Disclosures and add additional terms for the applicant to agree to during the application process.

  9. Below this is the required campaign documents box where you can add a rule requiring the applicant to submit a number of required documents. For example 1 document of the 3 documents types (Gov ID, Passport, Drivers License) This means that the applicant will need to upload 1 of the following in order to submit their application.

2. Create your testing property to prepare for a campaign:

  1. Create a property and name it TEST- Enter your home address -This property will serve for the training
    Create an owner for this property
    Add a new unit onto the Test property but do not create a lease yet

3. Go to the test property details tab:

  1. Create a floor plan - add photos to the floor plan

  2. Assign a supplier to the property

  3. Select your Amenities and Utilities for the property

4. Campaigns

  1. Create a campaign for the test property and email the link to your personal email (please do not use the same user email you use to login to Propra.app)

  2. Once you receive the email link for the application, create an account and follow the steps for the application and submit the application

  3. As the property manager in Propra.app go to the campaign, review the application, approve the application and send with a lease offer

  4. Use your lease form that you previously uploaded, sign and send to the tenant

  5. Once you receive the lease document email as the tenant click the link and sign the lease

  6. This will create a new lease in Propra for that test property, unit, and tenant

    Can you find where the lease document went?

    Use your test tenant profile to navigate the residential portal. Go to the lease page and upload an insurance document and share it.

5. Inspections Part 1

  1. Download the Propra App for Property Managers (purple not white)

  2. Login to your app and select your test property and the unit that you moved yourself into

  3. Select Begin Inspection and start a move-in inspection

  4. While doing the inspection complete the following tasks:

    -remove an area

    -add an area

    -select an area as damaged

  5. -make notes on an area

  6. -take 3 photos

  7. When completing the inspection select All photos and select to create a maintenance request from your damaged area

  8. Complete the inspection

    Can you find where the inspection report went?

Have some fun with your maintenance request by creating an operator (contracted or staff) and using a family members email. This way you can create maintenance requests for your house and assign it to them to complete :)

Who ever you have set up as a test operator will need an email that is not used to login to Propra as a property manager.

  1. Download the Operators App IF your test operator is listed as Staff
    Android

  2. Assign your maintenance request to your operator and have them complete the task

  3. Create a maintenance request in the portal, via email, and from your desktop

  4. Assign and complete the remaining requests

Tenant Maintenance

Go to your test unit

  1. Scroll down to the lease box and select Generate Form

  2. Choose a form, fill it out, download it

  3. Create an announcement based on that form you select

  4. Attach the form to the announcement

  5. Select to send a voice message and test the message with your number

  6. Make any edits needed in the voice message notes box (make sure to indicate who is sending the message)

  7. Send the announcement to yourself

  8. Reply to the announcement from your test tenant

  9. Go to the lease box on your test unit

  10. Add a violation to your test tenant, select Written Notice

  11. Create an announcement for this written notice and send it to your test tenant

  12. Go to your test tenant profile

  13. Select the documents tab

  14. Click the three dot menu to share with your tenant

  1. Login to your Propra Manager App

  2. Complete a move-out inspection

  3. Compare your move-in notes

  4. Add an estimated cost for damages

  5. Complete the inspection

Ending a lease

  1. Go to the test unit

  2. Scroll down to the Lease box

  3. See the retained for damages selected?

  4. Issue the deposit

Other tasks to play with:

Review your leases and insurance expiries from the Dashboard > Residential tab
