Smart Templates let you fully customize the categories and questions in your maintenance request forms to fit your property’s unique needs. Whether you're managing appliances, plumbing, or any other issue, you can tailor each category with specific fields — such as selecting which appliances to display, asking for make and model, allowing image uploads, or setting required response times.

You can also guide tenants with helpful resources by adding links to how-to videos, cleaning instructions, or simple troubleshooting steps. This is especially useful in situations where there's a potential threat to the property, enabling quicker action and more informed reports.

Smart Templates help streamline maintenance communication, reduce unnecessary requests, and ensure the right information is captured every time.

  1. To edit a template go to Smart Templates located on the bottom left of your dashboard. Select the pencil icon to edit a template

  2. There are two options for settings: Default or Customized. Default is Propra's template which cannot be edited. If you wish to create your own template select Customized.

  3. When you are on the Customized page select Customize This Template.

  4. Edit the fields accordingly. You can choose the type of question, options for answers, help text, and images.

    For example: Here we have selected the type to be Select, the options will create a drop down for the resident to choose from.

    Here is the example of what the resident sees when they are filling out the request:

    The Need Some Help? purple text will pop up with your Help Text and an image if uploaded:

  5. You can add fields by selecting the Add Field button on the button of the page.

  6. Once you have created a Customized template you can enable the template by toggling it on or off. You can only have one template (default or customized) toggled on at a time.

  7. All of the fields will be asked when creating a maintenance request for that category which can be seen on the details tab when the request has been created. This information will be especially helpful for your operator.
