Conducting Inspections in Propra

✅ Keeping your inspections up to date ensures accurate reporting, smooth move-ins and move-outs, and fewer disputes with tenants and owners.


What are inspections in Propra?

Inspections allow property managers and landlords to document the condition of a unit at different stages of a lease. These reports provide a clear record of the property’s state, make communication with tenants and owners easier, and help with timely maintenance follow-ups.


Before You Start

⚠️ Important: Before starting an inspection, make sure:

  • The unit has a current or upcoming lease attached.

  • The correct number of bedrooms and bathrooms is recorded in the unit’s profile.


Types of Inspections

Routine

  • Internal only – not automatically shared with tenants or owners.

  • Can be shared manually via the 3-dot menu in the lease’s Documents tab.

Move-in & Move-out

  • A move-out inspection cannot be completed until a move-in inspection is done.

  • Attempts can be logged for both move-in and move-out inspections.

  • Reports are automatically shared with tenants by email.

  • Owners can receive the report manually via the 3-dot menu.

  • If you are not able to complete an inspection with the resident present you can sign on behalf of the tenant and close the inspection.


How to Complete an Inspection

Step 1 – Start & Customize

  • Open the inspection from the unit.

  • Add or remove areas (e.g., living room, kitchen) as needed.

  • Add or remove features within each area (e.g., appliances, fixtures).

Step 2 – Record Conditions

  • Use thumbs up for features in good condition.

  • Use thumbs down for poor condition.

    • Add a note, rating, and photos when marking poor condition.

  • Use the bulk thumbs up button to quickly mark all features in an area as good.

  • For move-in & move-out inspections, all areas must be rated before you can complete the inspection.

Step 3 – Complete the Inspection

  1. Click Confirm.

  2. Review the summary of issues.

  3. Create maintenance requests for any problems identified.

  4. Take unlimited photos (select up to 100 photos for the PDF report).

  5. The inspector signs the report.

  6. Tenant signs the agreement (Move-in & Move-out only).

    • Select if the leaseholder or an authorized agent is signing.

  7. Click Submit.


What Happens Next

  • The inspection report is instantly available in Propra for Managers (web application).

  • Found under the Documents tab of the unit on propra.app

  • A copy is automatically sent to the tenant’s email.

  • Any maintenance requests are automatically sent to the property manager.


Where to Find Reports

In the Documents tab of the unit, click on an inspection report to view:

  • Unit condition summary – overview of the property’s state.

  • List of issues – problems or concerns identified.

  • All photos – including those not added to the PDF.


Editing or Sharing Reports

  • Use the 3-dot menu on an inspection report to reshare with tenants or owners.

  • Once submitted, reports cannot be edited but can be resent if needed.


Additional Tips for New Users

  • Routine inspections are for internal records only (share manually if needed).

  • Always confirm bedrooms and bathrooms before starting.

  • Remember: only 100 photos can be added to the PDF report, but all photos remain viewable in Propra.


FAQs

Q: Can I do a move-out inspection without a move-in inspection?

A: No, a move-in inspection must be completed first.

Q: How many photos can I include in the inspection report?

A: Up to 100 photos in the PDF report, but all photos remain available in the system. You can take as many photos as you wish.

Q: Do tenants always receive the report?

A: Yes, for move-in & move-out inspections. Routine inspections must be shared manually.

Q: Can I make edits to the report after its been completed?

A: No, once an inspection has been signed and completed you cannot make edits.

Q: Can I close the report without the tenant present?

A: Yes, after the inspector signs the report the tenant can sign. If the tenant is not present there is an option to select 'tenant or agent failed to appear' allowing the inspector to sign off and complete the inspection.

Q: Why is my submit button greyed out?

A: You need to complete each area of the inspection before closing the report.
