Listings

Create rental listings, manage applications, screen tenants, and send lease offers.

The Listings feature in Propra manages the full leasing process from vacancy to signed lease.

A listing covers the entire workflow of:

  • Listing a vacant unit

  • Collecting and reviewing applications

  • Completing background checks and screenings

  • Conducting reference checks

  • Approving an applicant

  • Sending a lease offer

Think of a listing as the structured pipeline that moves a unit from vacant → leased.

Preparing Your Application Settings

Before using your Listings feature it's important to have your application settings complete. Go to Settings > Account > Lease and Unit.

*If you cannot see this settings tab you may not have your user permission set to make edits.

Preparing Your Listings details

  1. Go to your Property Details page

  2. Select the Amenities included in the property

  3. Create your floor plan

This information is pulled directly into the listing when the listing is created.

Propra’s AI uses these property and unit details to automatically generate the marketing content for your listing. If amenities or floor plans are missing or incomplete at the time of listing creation, the listing may not accurately reflect the unit.

For best results, review and update all relevant property information first then create your listing.

**If you do not have a photo uploaded for the property the system will generate a photo from Google Maps.

Automatic Listing Creation (for vacant units)

When a unit becomes empty, Propra automatically creates a listing for you.

Propra pulls in:

  • Property details

  • Unit information

  • Relevant listing data

The listing will be created in an inactive state.

This means:

  • The listing exists

  • It is not publicly visible

  • Applicants cannot apply yet

Manual Listing Creation (for upcoming lease expiries)

When a unit has an upcoming lease expiry and you want to list it, you can create a listing manually.

  • Go to Listing

  • Select Create New Listing

  • Select your property *If you cannot select your property or unit you will need to manage your Lease and Unit threshold settings to allow you to create the listing.

    Enter Listing Details

    After selecting units, enter:

    • Bedrooms

    • Bathrooms

    • Square footage

    • Rent amount

    Please select the units before entering this information.

    You can then:

    • Save the listing as a draft

    • Publish the listing immediately

    Saving allows you to continue editing later.

  • Press Publish Listing

If you add new units to your property after creating a listing, the new units will automatically added and be listed in your active listing. You do not need to add them. If you are looking to create a separate listing for the new units you will need to remove them from the active listing and then create a new listing. You will not be able to create a new listing with the new units from the Create a Listing button as the new units won't be available for selection.


Activating a Listing

When you’re ready to begin accepting applications:

  1. Go to the listing

  2. Click on the three dot menu on the right and select Activate Listing

Once activated, Propra will generate:

  • A shareable listing link

  • A QR code

You can post or distribute this link anywhere you choose (website, social media, email, print materials, etc.).

Note: Propra does not automatically publish listings to external listing platforms at this time. Distribution is managed by you.

Updating a Listing

If you make changes to certain listing details, such as the floor plan, unit information, or other key listing elements, you will need to:

  1. Deactivate the listing

  2. Then Reactivate the listing

Reactivating the listing refreshes the listing link and ensures the most up-to-date information is reflected.

If the listing remains active after making structural changes (like adjusting a floor plan), the public listing may not immediately display those updates. Deactivating and reactivating ensures the link is fully updated.


Creating Separate Listing for Different Units

You can choose which units are included in a listing.

If you want separate application links for different unit types, you can create multiple listing for the same property.

Example

You manage a property with 50 vacant units:

  • 20 studios

  • 20 one-bedrooms

  • 10 two-bedrooms

If you only want applicants to see and apply for studios, you would:

  • Create a listing selecting only the studio units

Then create separate listing for:

  • One-bedroom units

  • Two-bedroom units

Each listing will have its own unique listing link and QR code.


Why Create Separate Listing?

There are strategic reasons to separate listings:

For example: Lottery-Based Leasing

If you are filling units through a lottery system, separate listings allow you to:

  • Control visibility

  • Limit which applicants see which units

  • Manage phased approvals more easily


Managing Your Listing

Once created, use the three-dot menu to:

  • Edit – modify listing details

  • Share – generate links and QR codes

  • Deactivate – pause applications

  • Close Listing – permanently close the listing

You can preview your listing to see how applicants will view it.


Listings Overview

The Listings page displays:

  • Property name

  • Activation date

  • Ready to Review count

  • Listing status

Ready to Review

The Ready to Review column shows how many new applications have been submitted for the listing.

Listing Statuses

Listings can display the following statuses:

Active

The listing link is live and accepting applications.

Inactive

The listing link is currently disabled and unavailable to applicants.

Closed

The listing has ended.

Listings may close:

  • Manually by a user

  • Automatically when all listed units have been filled

  • Applications are closed

To view previous listings, enable Show Closed Listings.


Listing Actions

Select the three-dot menu beside a listing to:

  • Edit the listing

  • Share the listing

  • Deactivate the listing

  • End the listing

Editing Listings

When editing a listing, changes do not automatically update the active public link.

Examples of edits include:

  • Updating floor plans (done from the floor plan)

  • Changing photos (done from the floor plan)

  • Updating square footage

  • Adjusting market rent

  • Editing descriptions (done from the floor plan)

To update the live public listing after edits:

  1. Deactivate the listing

  2. Reactivate the listing

This creates a new active link with the updated information.

Sharing Your Listing

When you are on the listings page select the three dot menu and then select Share. You will be given three options for sharing:

  • Direct email link - This should be sent to the primary applicant only. Once they are filling out the application they will be given the opportunity to add additional tenants, lease holders, or co-signers. Once you enter the email address press enter as this will allow you to enter multiple email addresses to send the link to.

  • Copyable web link

  • QR code

Sharing is also available in the Property Manager App under Properties.

Open the Property Manager App → Go to the property > Tap Listing → Select your listing → This will give you access to the link, QR code and the option to email the link.

Once applicants visit the link, they will be prompted to sign in to the Propra Resident Portal. If they have not logged in before, that's ok! The simple sign up process takes them through the steps of account creation while also getting them to fill in pertinent application details.



Important Application Guidance

You should only send the listing application link to the primary lease holder.

The primary applicant can then add co-applicants within the application process.

If multiple lease holders each receive separate application links and submit individual applications:

  • Multiple disconnected applications will be created

  • The applications will not merge together

  • Lease information cannot be combined into one lease form

The intended workflow is to keep all lease holders on a single application so you can:

  • Review all applicant information together

  • Send one lease agreement

  • Collect all signatures on a single document

Reapplying After Errors

If applicants experience issues and need to restart the application process:

  1. Create a new listing

  2. Generate a new link

  3. Send the updated listing link

Once applicants have created a Propra portal account and submitted an application, the system remembers their information.

This includes:

  • Previously entered details

  • Uploaded documents

Applicants can simply review and update information instead of starting from scratch.

Copying and Posting Listing Links

You can also:

  • Copy the listing link

  • Post it on external websites

  • Share it manually

Propra does not currently post listings automatically to external listing websites.


Deactivating vs Ending Listings

Deactivate Listing

Deactivating a listing:

  • Disables the public application link

  • Stops new applications

  • Keeps all existing applications intact

This will be displayed on the Listing link page after deactivating:

End Listing

Ending a listing:

  • Closes the listing completely

  • Removes it from the active listings page

This will be displayed on the Listing link page after closing:


Viewing Listing Details

Once created, click into the listing to view additional information.

You can view:

  • Unit types

  • Total units

  • Included units

  • Rent amounts

  • Applications and applicant details


Reviewing Applications

When an application has been submitted you will see a bubble on the Listings feature. You may also receive notifications via email or SMS depending on your notification settings.

When you are in the Listing page you will see purple bubbles under the Ready to Review column indicating an application has been submitted. The number will represent how many new applications you have received.

To review the submitted applications click into the Listing

Co-Applicant status: You will be able to see any co-applicants status. The orange In Progress means their application is not yet complete. A name in grey means the co-applicant has completed their application.

Type: This will show the unit types for that listing

Submitted: This is the date the applicant submitted their application

Review: Your current review status

Status: Submitted, Approved, or Declined

Review Status Icons

To update review statuses:

  1. Select the three-dot menu

  2. Choose a review indicator

Icons include:

  • Magnifying glass — reviewing the application and conducting checks

  • Phone — contacting references

  • Face icons (sad, neutral, happy) — organizing applicant quality and fit

These tools help organize and manage your leasing workflow.

To review an application, click directly on the application

Application Status Indicators

The application page displays summary metrics including:

  • Average residency duration

  • Income-to-rent ratio

  • Employment duration

Tenant Screening

Applicants can be screened through SingleKey directly from the application.

Using the provided link gives applicants a discount on screening services.

If an application exists in the system, the applicant has already agreed to your application terms, including consent for background checks.

Application Details

The application details section shows all information entered by applicants.

If sections are blank, the applicant did not complete those fields.

Co-applicants will be shown at the bottom of the primary application. You cannot approve an application until the co-applicants have completed their application.

Once a co-applicants application has been complete you will be able to see their details as well

Application Documents

The Documents tab displays all uploaded files from all applicants within the application.

Examples include:

  • Identification

  • Proof of income

  • References

  • Supporting documents

Documents can be downloaded as needed.

Once an application is approved and a lease is created, the application remains stored in Propra for future reference.

You may also save documents and upload them into the lease document section if desired.

Internal Notes

The Notes tab is for internal-only comments and observations.

Notes entered here are not shared with applicants or owners.

Lease applications cannot currently be shared with owners.

Declining Applications

To decline an application:

  1. Select Decline Application

You will then choose between:

  • Confirm - Decline without notification

  • Confirm & Notify - Sends a message

Decline Without Notification

This changes the application status internally only.

Notify and Decline

This allows you to send a message to applicants informing them that their application was declined.

The announcement message can be edited before sending.

Applications can be declined even if co-applicants are still in progress.

Once an application is declined, it cannot later be approved.

Approving Applications and Sending Lease Offers

Applications cannot be approved until all applicants have completed their submissions. You cannot approve an application from a closed listing.

To approve an application:

  1. Select Approve Application

You can then choose to:

  • Create Lease Offer - this will allow you to enter the lease details and send a form for signature

  • Create Lease Without Offer - Create the lease manually without generating documents

Selecting the Unit

The system automatically selects the originally applied-for unit.

For example:

If a listing includes:

  • Studio units

  • One-bedroom units

  • Two-bedroom units

And the applicant applied for a one-bedroom unit, the system will automatically select a one-bedroom unit.

You may also manually change the selected unit if needed.

Preparing the Lease

Next, enter:

  • Lease details

  • Forms requiring review and signature (if you do not have forms updated a default Propra lease will generate for you)

  • Additional lease information

You can then:

  • Save as draft (review it later by selecting the Approve Application button again)

  • Download the lease form for in-person signing

  • Send the lease digitally for signatures

The lease holders can sign first or the Property Manager. Signature order depends on your configured signature settings.

Lease Signing Process

Once the lease has been sent:

  • Applicants receive an email notification with a link that will take them to their Propra portal

  • They can review and sign the lease digitally

If multiple applicants are using the same device, each person must log out after signing so the next signer can access their own account.

The document will be in your Signatures page until both parties have signed

Completed Lease Documents

Once signed:

  • The lease agreement becomes available in the residents portal under their lease document tab

  • Signed documents are stored in the Lease Documents tab in Propra.app

You can also share signed lease documents with owners.

To share:

  1. Select the three-dot menu beside the document

  2. Choose Share with

Once complete, the unit is filled and your new tenant has officially been onboarded into Propra.
