Understanding the Terms and Disclosures Feature in the Lease and Units Tab

Overview

The Terms and Disclosures feature in the Lease and Units tab gives you control over the legal and informational statements applicants must acknowledge before submitting their rental applications. This ensures transparency, compliance, and protection for both property managers and applicants by making key terms visible upfront.

Why It Matters

Every property manager has unique requirements, expectations, and policies. Whether it’s a non-refundable application fee, pet restrictions, or acknowledgment of background checks, clear communication is critical. The Terms and Disclosures section helps you:

  • Set expectations early in the application process.

  • Protect your business by ensuring applicants agree to important terms before submission.

  • Reduce misunderstandings or disputes later in the leasing process.

How It Works

  1. Navigate to the Lease and Units tab under Account Settings.

  2. Select the Documents tab

  3. Locate the Terms and Disclosures section.

  4. Enter the specific terms or statements you want applicants to review and agree to.

    • Examples include:

      • “I understand that the application fee is non-refundable.”

      • “I understand I am responsible for the screening fee.”

      • “I agree to paying the security deposit within 24 hours of signing the lease agreement.”

  5. Once saved, these terms will automatically appear in the online rental application form.

Before submitting their application, applicants must check the box indicating that they’ve read and agreed to the stated terms. They cannot complete or submit their application without doing so.

Best Practices

  • Be clear and concise: Avoid overly technical or lengthy text. Applicants should be able to understand your terms at a glance.

  • Use plain language: Replace legal jargon with straightforward language when possible.

  • Keep records: The system automatically logs applicant consent, providing you with documentation in case of future disputes.

  • Review regularly: Update your terms periodically to ensure they reflect your latest policies or any legal changes.
