Getting Started with Offline Inspections in Propra
Before You Begin
- Download the PropraForManagers App and Log in.
- Ensure Offline Mode is Used: Before starting the inspection, make sure to enable offline mode (By going into airplane mode or turning off wifi / cellular) to avoid potential connectivity interruptions.
- Confirm the unit has an upcoming or current lease attached.
- Verify the correct number of bedrooms and bathrooms are assigned to the unit in Propra.
Why Offline Mode Matters
Using offline mode ensures a seamless inspection experience by preventing connectivity issues caused by intermittent internet signals.
- What Can Happen Without Offline Mode?
- If your internet connection flickers (e.g., switching between Wi-Fi and cellular data), the app may lose and quickly regain connectivity.
- During these brief drops, the app attempts to re-sync, causing delays and loading interruptions.
- Even with generally strong internet speeds, this reconnection process can disrupt your workflow.
- Using offline mode eliminates these issues by allowing the inspection to continue without relying on a live connection.
Types of Inspections
Propra supports three types of inspections:
- Routine Inspections
- Move-In Inspections
- Move-Out Inspections (Note: A move-out inspection cannot be completed until a move-in inspection has been done.)
You can also register attempts for move-in and move-out inspections if a full inspection could not be completed.
Starting an Inspection
Select the Property:
- While connected to the internet or cellular data, select the property for the inspection.
Enable Offline Mode:
- Once the property is selected, turn off your internet connection (or switch to airplane mode).
- This ensures the inspection is completed without interruptions from fluctuating signals.
Customize the Inspection:
- Add or remove areas as needed to better reflect the property layout.
- Add features within each area as required.
Conduct the Inspection:
- Record the condition of each feature by rating it with a thumbs up (good condition) or thumbs down (poor condition).
- If a thumbs down is selected, you can:
- Specify the poor condition details.
- Add notes and photos.
- Use the quick thumbs-up feature to mark all features in good condition for an area.
- For move-in and move-out inspections, all areas must be inspected and rated before the inspection can be completed.
During the Inspection
- Take as many photos as needed. At the end of the inspection, you can select up to 100 photos to include in the PDF report. The remaining photos will still be viewable on the platform.
Completing the Inspection
Click Confirm:
- Review a summary of the issues found during the inspection.
- You’ll have the option to create maintenance requests for identified issues.
Sign the Report:
- The individual completing the inspection will sign the report.
- For move-in and move-out inspections, the tenant will select one of the options for the tenant agreement.
Confirm Details:
- Choose whether the leaseholder is signing the agreement or an authorized agent is signing on their behalf.
- Once details are confirmed, click Submit.
Syncing and Report Generation
- After completing the inspection, reconnect to the internet.
- The app will sync and generate the report automatically.
- A copy of the inspection report will be emailed to the tenant, and any maintenance requests will be sent to the property manager once a connection is established again.
Viewing the Inspection Report
In the Propra for Managers web application:
- Inspection Summary & Photos:Click on the inspection document to access:
- Unit Condition Summary: A clear overview of the unit’s condition.
- List of Issues: Detailed information on any identified problems or areas of concern.
- All Inspection Photos: View all photos taken, including those not included in the PDF report.
Key Tip: Use Offline Mode
To avoid delays and loading issues caused by intermittent internet signals, enable offline mode before starting the inspection. This ensures a smoother experience and prevents interruptions from connectivity fluctuations.
