Availability - Expiries

Track vacancies, lease expiries, renewals, move-outs, occupancy, and unit availability.

The Availability tab displays all vacant units based on the properties selected in your property dropdown menu.

This page helps managers quickly identify vacant units and upcoming availability.

The Availability tab displays:

  • Property and unit

  • Number of days vacant

  • Upcoming lease information

  • Property owner

  • Tenant names

  • Last inspection completed in Propra

  • Renewal status

  • Rent amount

  • Lease end date

Searching and Filtering

You can use the search bar to search by:

  • Property

  • Unit

  • Tenant

  • Owner

You can also use the Filter option to filter by specific columns.

For example:

  • Units vacant longer than a certain number of days

  • Upcoming lease expiries

  • Units with no renewal entered

This helps managers prioritize leasing activity and vacancy management.

Expiry Threshold Tabs

The Availability section also contains additional tabs that organize leases by upcoming expiry timelines.

Expiring Under 7 Days

This tab displays leases expiring within the next 7 days.

This is useful for:

  • Scheduling move-out inspections

  • Confirming tenant move-out plans

  • Preparing units for turnover

Expiring in 8–15 Days

This tab shows leases expiring between 8 and 15 days.

This helps ensure:

  • New leases are prepared

  • Renewals are finalized

  • Incoming tenant details are ready

Custom Threshold Tabs

Additional expiry threshold tabs can be configured in your Lease and Unit settings.

These thresholds are commonly set to:

  • 60 days

  • 90 days

Managers often use these timelines for:

  • Rent increase planning

  • Renewal discussions

  • Vacancy forecasting

  • Owner communication regarding lease renewals

To change these thresholds:

  1. Go to Settings

  2. Select Lease and Unit Settings

  3. Update your expiry threshold preferences

Anniversary Tab

The Next Anniversary tab displays leases that have passed their one-year anniversary and shows the upcoming anniversary date.

This is useful for reviewing:

  • Renewed leases

  • Annual lease anniversaries

  • Long-term tenancy tracking

For example:

If you are reviewing leases in May, the Anniversary tab can show leases renewed from January through the current date.

Leases that successfully renewed will appear with their next anniversary date listed for the following year.

Leases that ended and were not renewed will not appear on this list.

Renewal Status Indicators

Throughout the Availability and Anniversary sections, renewal indicators help managers quickly identify lease statuses.

These may include:

  • Checkmarks indicating:

    • Lease renewal completed

    • Additional term added

    • Auto-renew enabled

  • X indicators showing:

    • Lease set to end

    • No renewal scheduled

Icons may also display different colors depending on urgency:

  • Red — urgent attention required

  • Orange — warning or upcoming action needed

  • Purple — month-to-month tenancy status (commonly shown in Anniversary tracking)

Shared Information Across Tabs

Most tabs within Residential and Commercial dashboards display similar lease and unit information including:

  • Property and unit

  • Upcoming lease details

  • Property owner

  • Tenant names

  • Last inspection completed in Propra

  • Renewal status

  • Total rent amount

  • Lease end date

This provides managers with a centralized operational overview for lease and occupancy management across the portfolio.
