A complete guide to lease renewals, covering how to renew a lease, update rent and terms, and send lease renewals from Propra for tenant e-signature.

Lease Renewals in Propra

Easily send lease renewal offers to tenants for signature directly through Propra. The process is fully digital, allowing you to generate, prepare, and send renewal documents without leaving the platform.

Review Upcoming Lease Expiries

Start by reviewing your dashboard to see which leases are nearing expiry—typically around 90 days in advance. At this stage, confirm with owners whether they want to renew, increase rent, or make changes.

Once confirmed, use your dashboard (based on your selected expiry threshold) to identify and select the leases, then proceed with sending renewal offers.


Creating a Lease Renewal

To get started:

  1. Navigate to the Lease Page

  2. Click on Manage Terms and Fees

  3. Click on Add Term and make adjustments if needed. Click through the pages and save.

  4. When you are back on the lease page select Generate Form

  5. Choose Lease Renewal

  6. Click Add New

If you’ve uploaded a custom lease form in your account settings, it will be available to select. Otherwise, the default Propra lease renewal form will be provided.


Preparing the Lease Renewal

Once your form is selected fill out all required text fields in the document if there are any and select the appropriate lease start and end dates


You can either:

  • Generate the lease form (this will not send to anyone but you can download the document to then send for signature outside of Propra or print it for in person signature)
    or

  • Send the renewal document to the lease holders for electronic signature


You have two options at this stage:

  • Save as Draft: Save the lease offer so another team member can review or complete it later

  • Sign and Send: Depending on your settings either the Manager will sign first or the Resident.


Sending for Signature

When you select Send for Signature:

  • The renewal document is sent to all tenants listed on the lease

  • Tenants will receive an email prompting them to sign


Important:
The document will only be sent to tenants who have a valid email address on file. If the tenant does not have a resident portal account they will be prompted to create one to sign the document.


Tracking Lease Renewals

After sending the renewal:

  • Go to the Signatures from the dashboard dropdown menu

  • View all pending lease renewals in one place

From here, you can:

  • Check the status of each renewal

  • See whether signatures are pending or signed (note that signed will only appear if the manager still needs to sign the document)

  • Identify renewals that have been dismissed

  • Send a reminder to the resident to sign the document

  • If you send the signature to the residents to sign first you will be able to click on the signing icon to add the manager signature




    After the renewal is signed by all parties, the document will be stored in the Lease Documents tab. Residents will have a copy of the renewal document automatically added in their portal under the lease.
