Collections

Track overdue rent, receivables, tenant balances, invoices, and collections activity in Propra.

The Collections page is located both on the dashboard homepage and within the Dashboard dropdown menu.

The Collections page provides an overall view of all overdue receivables across your portfolio, helping property managers and accounting teams track unpaid invoices and outstanding balances.

Accessing the Collections Page

To open Collections:

  • Select Collections from the dashboard homepage

  • Or select Collections from the Dashboard dropdown menu

When opened, the page displays all overdue receivables currently outstanding in the system.

Filtering Collections

You can filter the collections list by property to focus on specific buildings or portfolios.

Please note:

If you are part of a team, your property visibility may be limited to only the properties assigned to your team permissions.

Searching and Sorting Invoices

The search bar allows you to quickly locate overdue invoices or payees.

You can search or sort by:

  • Date

  • Payee

  • Invoice number

  • Property or unit

  • Description

  • Amount

  • Due date

  • Outstanding balance

This makes it easier to locate specific receivables and organize collection activity.

Sorting the Collections List

Beside each column title is an arrow that allows you to sort the list.

Sorting can be especially useful for reviewing:

Payee Name

Sort alphabetically to quickly identify payees with multiple overdue invoices.

Amount

Sort by highest or lowest balance to prioritize large outstanding receivables.

Due Date

Sort by oldest due date to focus on the longest overdue balances first.

Overdue Indicators

A red bubble beside the invoice will display how many days overdue the receivable is.

This helps prioritize collection efforts and quickly identify aging balances.

Opening Payee Profiles

Selecting an invoice will take you directly to the payee profile.

From the payee profile, you can access the Financials tab where you can:

Accounting Team Actions

If you are part of the accounting team, you can go directly to Receivables to:

  • Action invoice-related tasks

  • Review outstanding balances

This allows accounting staff to process payments and manage receivables efficiently.

Total Collections Amount

The total amount currently outstanding and to be collected is displayed in the bottom right corner of the Collections page.

This provides a quick snapshot of total overdue receivables across your portfolio.
