Learn how to use the Receivables tab in Propra to manage invoices, credits, and Autopay collections. Covers filtering, searching, sorting, exporting, applying credits, processing payments, and posting payments or credits.

Receivables

The Receivables tab is located in Accounting and displays all receivables in your account. Receivables are payments owed to the property — money that is expected to come in, such as tenant rent charges, utility invoices, fees, or other outstanding balances.

This page gives you a centralized view of receivables across your properties and includes tools to filter, sort, search, export, and process payments efficiently.


Filtering Receivables

Team Filter

You can filter receivables by team to quickly narrow down your results.

Teams can be set up in different ways depending on how your company organizes properties. For example:

  • By user/property manager

    • Tom’s assigned properties

    • Sarah’s portfolio

  • By location

    • Calgary properties

    • Red Deer properties

  • By portfolio type

    • Commercial properties

    • Residential properties

Using teams allows you to quickly review receivables for a specific group of properties without manually selecting each one.


Property Filter

You can also filter by individual properties.

To filter by property:

  1. Select the Property dropdown

  2. Select one or multiple properties

  3. Select Confirm

To clear the property filter:

  • Select the funnel icon


Date Filter

You can filter receivables by date.

Options include:

  • Preset date ranges

  • Custom date selection

Using the Custom option allows you to select exact dates for filtering.


Status Filter

The Status filter allows you to view:

  • Paid receivables

  • Outstanding receivables

This is useful when reviewing unpaid balances or confirming completed payments.


Autopay Filter

If you are using Autopay, you will also see an additional filter:

  • All

  • Enabled

  • Disabled

This helps identify which receivables are set up for automatic collection.


Using the Search Bar

The search bar allows you to search receivables by:

  • Name

  • Description

Examples

Searching:

  • Katrina Dias
    Displays all invoices for Katrina Dias

  • Utility
    Displays invoices with “Utility” in the description

This is helpful when locating specific transactions or reviewing certain types of charges.


Sorting Columns

Columns with titles include arrow filters beside the name that allow you to sort the list.

This can be especially useful when reviewing invoices after rent roll has been posted.

Common Uses

  • Sorting payees alphabetically

  • Identifying tenants with multiple invoices outstanding

  • Reviewing invoices scheduled for Autopay collection


Sorting by Amount

Using the sort arrows on amount columns can help you:

  • Move credits to the top

  • Find specific transaction amounts

  • Investigate discrepancies or unusual balances


Exporting Receivables

You can export the receivables list using the Export button in the top right corner.

This is useful for:

  • Reporting

  • Audits

  • Reviewing balances outside the software

  • Sharing information with owners or team members


Rows Per Page & Totals

You can adjust the number of rows displayed per page.

In the bottom right corner, you will see:

  • The total amount displayed

  • The selected amount (if invoices are selected)


Receivables Actions

There are three action buttons at the top of the Receivables page.


The Apply Credits button allows you to apply available credits to outstanding invoices.

This helps reduce outstanding balances and ensures credits are properly used.


The Process Payments button is available when using Autopay.

This option will only be enabled if:

  • The payee is activated for Autopay

  • The invoice is toggled on for collection

This allows eligible invoices to be processed directly through Autopay.


The Post button allows you to:

  • Create a credit

  • Record that an invoice has been paid

This is commonly used when recording manual payments or adjustments.


Best Practice Tip

After posting rent roll, it is recommended to:

  • Sort receivables alphabetically

  • Review tenants with multiple outstanding invoices

  • Confirm Autopay invoices are properly enabled before processing payments

This can help catch missed charges or collection issues before payments are processed.
