Campaigns

A Campaign in Propra represents the complete process of filling a vacant unit, from listing the property to signing a new lease.

The Campaigns feature allows you to manage every step of the leasing journey in one place, including:

  • Creating listings

  • Sharing your listing with prospective tenants (direct email link, copyable web link, or QR code)

  • Collecting and reviewing applications

  • Screening and following up with applicants

  • Approving a tenant

  • Sending and signing lease agreements digitally

Each campaign gives you visibility into leasing activity, including application volume, applicant review status, screening progress, and lease stage.


Preparing Your Application Settings, This is Step 1 *this step looks differnt from step 2

Each section below has its own detailed article, but this overview explains what each setting controls and why it matters.

Before creating a campaign, ensure your application settings are configured.

Navigation

Go to:

Settings → Account → Lease and Unit → Documents

You will see three sections:

Step 2. Custom Forms

  • Upload your lease documents (PDF format only)

  • Supported form types include:

    • Residential

    • Commercial

    • Condo/Strata

    • Pet, Parking, and Storage agreements

  • You can add fillable fields to your forms

  • Propra will automatically populate:

    • Landlord details

    • Applicant information

    • Property address

Step 3. Terms and Disclosures

  • Add a custom term if needed

  • Applicants must agree to:

    • Your custom term

    Example 1 – Smoking Policy*this example is more for the lease and not the application
    Smoking, vaping, and cannabis use are not permitted inside the unit or indoor common areas. Any related damage may result in cleaning or repair charges.

    Example 2 – Tenant Insurance
    Tenants must maintain active tenant insurance for the duration of the lease. Proof of coverage may be requested.

  • Acceptance is required before submission

Step 4. Required Campaign Documents

  • Define mandatory uploads such as:

    • Government ID

    • Proof of income

  • Applicants cannot proceed without uploading required documents

Creating a Campaign

A campaign can be created when:

Option 1: From Campaigns Page

  • Navigate to Campaigns

  • Click Create New Campaign

You create a new campaign when you need to find tenants for an available unit. This usually happens when a unit becomes vacant or when a lease is expiring soon. If a campaign is closed, a new one must be created to relist the unit.

Option 2: Search by Property

  • Search for the property name

Use this when you already know which property or unit you want to lease.

  • If it does not appear, the unit is outside your lease threshold

  • Adjust this under:

    • Account Settings → Lease and Units

Selecting Units

  • Choose which units to include in the campaign

  • Units may be:

    • Vacant

    • Expiring soon

When you click Update and Publish, the campaign goes live and applications can be submitted.


Managing Your Campaign

Once created, use the three-dot menu to:

  • Edit – modify listing details

  • Share – generate links and QR codes

  • Deactivate – pause applications

  • End campaign – permanently close the listing

You can preview your listing to see how applicants will view it.


Sharing Your Campaign

Campaigns can be shared through:

  • Direct email link

  • Copyable web link

  • QR code

Sharing is also available in the Property Manager App under Campaigns.

Open the Property Manager App → Tap Campaigns → Select your campaign → This will give you access to the link, QR code and the option to email the link.


Applicant Experience

When shared by email, the applicant receives an invitation link.

Application Flow

Applicants will:

  1. Click the link

  2. Create or log into their Propra profile

  3. Complete the application form

They will be asked to provide:

  • Personal details

  • Contact information

  • Emergency contact

  • Application preferences

  • Work history

  • Address history

  • Household details

Important – Co-Applicant Login

The application must be sent to one primary applicant only.

  • Do NOT send the main link to both applicants, if there is a co-signer, they must be invited separately.

  • Co-signers must use the same email the invitation was sent to for security verification.

Completion

Once submitted:

  • Applicants receive a confirmation

  • Uploaded documents are stored securely


Reviewing Applications

From the application dashboard, you can:

  • View all applicants

  • Change review statuses by clicking the status icons (Pending, Approved, Declined)

  • Organize candidates based on preference

For each applicant, you can:

  • Open the full application

  • Review uploaded documents by opening the applicant profile and clicking the Documents section

  • Add internal notes (entered inside the applicant profile, for example: “Income verified – employer confirmed full-time.”)

  • Use the SingleKey link for screening (secure third-party screening service for applicant verification, you receive a 15% partner discount when using this link)


Approving or Declining Applicants

Declining an Application

  • When you click Confirm, the applicant’s status is changed to Declined.

    No notification is sent to the applicant.

  • When you choose to notify the applicant

  • This creates a draft announcement email

  • You can edit and send it

  • The email includes:

    • Your company branding

    • Contact details (logo can be added in Account Settings)

Status Updates

  • Campaign status updates automatically:

    • Submitted

    • Approved

    • Declined


Sending a Lease

Once you approve an applicant, it’s time to create and send the lease.

Step 1: Choose how to create the lease

You have two options:

1) Create lease WITH offer (recommended)

This sends the lease to the applicant to review and sign online.

  • You send it as an offer

  • The applicant reviews it

  • They sign digitally (They cannot edit the lease, they can only review and sign)

  • Once signed, it becomes a binding lease

Use this when:
You want the tenant to sign electronically inside Propra (most common workflow).


2) Create lease WITHOUT offer

This creates the lease for internal records only.

  • You create the lease

  • The lease is NOT sent to the tenant

  • No digital signature is collected

Use this when:
The lease is already signed outside Propra or for record keeping.


Step 2: Choose your lease type

You may use:

  • Propra default lease

  • Your uploaded custom lease form

  • If you add multiple forms (ex: parking or pet), they will be attached as additional agreements


Step 3: Save as Draft (internal review workflow)

If someone on your team (for example, an assistant) is preparing the lease but the property manager needs to review and sign it, you can use Save Draft.

  • Click Save Draft instead of signing

  • The lease is saved but not sent

  • A manager can open it later

  • Review all details

  • Make changes if needed

  • Then sign and send it

Use this when:
An assistant prepares the lease and a manager must approve it before sending.


Step 4: Review and send

Once ready:

  • Property manager reviews the lease

  • Signs digitally

  • If using WITH offer, invites the tenant to sign


Step 5: Tenant signs

  • Tenant receives an email

  • Logs into their Propra portal

  • Reviews and signs the lease


Final step – Lease completion

  • A finalized PDF is generated

  • Lease is saved under:
    Unit → Lease Documents

  • Tenant also receives a copy


Once approved:

  • The listing automatically closes, no new applications can be submitted

  • Your new tenant is moved in


You’re All Set

Once the lease is signed and finalized, your campaign is complete and the listing is closed.

Now you have a new tenant.

Your lease documents are securely stored in Propra, and both you and your tenant have access to the signed agreement for your records.
