The Owners page, located on the dashboard menu, is where you manage property owners and unit owners within Propra.
Propra supports two different ownership roles in the system:
Property Owners
Unit Owners

Adding Owners
You can add owners individually by selecting Add Owner. To create a new owner:
Select Add Owner
Enter the owner information
Save the profile
Once added, the owner can be associated with a property or unit and invited to access their portal. The owner added into the system becomes the primary owner. From their owner portal, they can add shared users and grant access to specific assets and permissions. This supports situations such as:
One owner owning multiple assets
One owner owning assets with multiple partners
Multiple people sharing access to the same property or units
Importing Owners
You can also import owners in bulk by selecting Import Owners. To import your owner list:
Select Import Owners
Download the example CSV template
Fill out the template with your owner information
Upload the completed CSV file
Save the import
The provided template must be used for imports to work correctly.
Searching and Filtering Owners
Use the search bar to quickly locate owners by:
Owner name
Property name
You can also:
View deactivated owners (select Show Deactivated)
Export your owner list
Sort columns alphabetically using the arrows beside column titles (hover over the column title to show the arrow)
Filter results using the Filter button
Owners who have successfully created and verified their portal account will display a green verified checkmark beside their name.
Property Owners
A property owner owns the entire property. This could be:
An individual person
A corporation
A condo or strata corporation
Unit Owners
A unit owner owns one or more individual units within a property. Examples include:
Condo or strata owners
Owners renting out individual units
Individual investors owning units within a larger apartment building
One owner may own multiple units within the same building.
Important: An owner cannot own both the property and individual units on the same property. If both are assigned, the system will override the setup and treat the owner as owning the property. Because of this, you should not assign both the property and units to the same owner on the asset page. Having both selected could effect your bank groups if the wrong owner is selected resulting in payments going into the wrong account.
Viewing an Owner Profile
To open an owner profile, click directly on the owner’s name. Within the owner profile, you can manage:
Owned assets (properties or units)
Contact information
Documents
Financial details
Notes
Assets and Ownership Types
Inside the owner profile, you can select which assets the owner owns. To assign an asset:
Select Add Asset
Choose the property
Select the ownership type for that property
The owner will either:
Own the entire property as a Property Owner
Own a specific unit as a Unit Owner
Updating Asset Information
To edit asset details:
Select the three-dot menu
Choose Update Asset
Here you can:
Add owner contract dates
Enter management fees
Update ownership details
You can pull owner contract information from Reports by running the Managed Properties Report. Once changes are complete, press Save.
Asset Financial Settings
When updating an asset, you can configure:
Fee Rate
Calculates the percentage based on the management fee collection setup in:
Accounting Financial Settings
Fee Amount
Uses the management fee settings configured in accounting.
Flat Fee
Charges a flat amount for the entire property.
Reserve Amount
The reserve amount is held back for future bills and expenses.
If entered:
This amount will remain in the account
It will not be included in owner income payouts
Track Condo Fee Expense
Selecting this option will create an expense for condo fees for this owner. This would be selected if they are a condo/strata unit owner and you are managing their property as well
What Property Owners Can See
Property owners may have access to:
Full maintenance request logs
High-level financial performance
Property-wide documentation
Operational reporting
Unit Owners
Unit owners are individuals who own a specific unit within a larger property. This setup is common in:
Condominiums
Townhomes
Strata properties
Unit owners typically only see information related to their individual unit.
What Unit Owners Can See
Currently, unit owners can access:
Lease and billing information for their unit
Maintenance requests submitted by themselves or their tenants
Maintenance request status summaries
What Unit Owners Cannot See
Unit owners do not currently have access to:
Internal maintenance notes
Full property-level documentation
Property-wide financial reporting that hasn't been shared
This limited visibility helps simplify communication and keeps unit owners focused on information relevant to their unit only.
Contact Tab
The Contact tab displays the owner’s contact information. To edit contact details:
Select the pencil icon
Update the information
Save your changes
Important: If Mail is selected as the correspondence preference, the owner will not receive email notifications regarding autopay payments.
Non-Resident Owners
The home address is important for non-resident owners. If the address is outside of Canada, you can run the:
Non-Resident Withholding Tax task
Include in Accounting
Toggle on Include In Accounting to allow the owner to be selected for accounting tasks.
Verified Email Addresses
Once an owner has verified their email address through their portal account, the email address can no longer be edited internally. Only the owner can change their verified email through their Propra portal.
Requested Contact Updates
If an owner updates their information through their portal, you may receive a notification depending on your notification settings.
When updates are pending review, a yellow information icon will appear for you to confirm the requested changes.
Additional Contacts
You can add additional contacts for an owner profile. These additional contacts are for record keeping purposes only and do not create portal access. If an owner shares ownership with another person, they can invite them as a shared user directly from their owner portal.
Internal Notes
You can add internal-only notes on the Contact page for administrative purposes.
Documents Tab
The Documents tab allows you to upload and manage owner-related files.
Examples include:
Contracts
Statements
Agreements
Identification documents
Ownership paperwork
Uploading Documents
To upload a document:
Select Upload
Upload the document file
Click Save
Sharing Documents
To share a document with the primary owner:
Select the three-dot menu
Choose Share with
To remove access, select Unshare.
Documents uploaded directly to the owner profile can only be shared with the primary owner. If a property has multiple owners and you need to share documents with all shared owners, upload the document to the property’s Documents tab instead.
Owner Notifications
When a document is shared:
The owner receives an email notification
The email includes a link directly to the document
The document becomes available in the owner's portal under the Documents tab
Additional Shared Users
Documents shared directly from the owner profile are only shared with the primary owner. This is because:
One owner may have multiple shared users
Sharing from the owner profile would otherwise share the document with everyone
If you need to share documents with additional shared users:
Upload the document to the Property Documents page instead
Share the document from the property level
Income Payout Reports
Income payout reports shared from the Reports page will appear in the Documents tab. Since these reports are property-level documents:
Shared portal users linked to the property will also receive access
Financial Tab
The Financial tab contains accounting and payment information for the owner. This includes:
Management fee settings
Fiscal year end
GST number
GST filing frequency
Condo fee expense tracking
Payment details
Payment Details
To add or edit payment details:
Select the three-dot menu
Recommendation: If the owner has a PAD agreement, upload it to the Documents tab for reference.
Autopay Status
Autopay statuses are shown using icons:
✅ Green Checkmark = Autopay enabled
❌ X = Owner canceled autopay in the portal
🕒 Clock = Waiting for the owner to enter banking details
Owner Transactions
At the bottom of the Financial tab, you can view:
Balance owing
Owner transactions
Maintenance bills
Income payouts
Select Show Paid to display paid transactions.
Add Charge and Deposit
Depending on permissions, you may also see:

Important: These charges apply to the owner directly, not the property.
Deactivating an Owner
To deactivate an owner:
Select the three-dot menu
Choose Deactivate
Before deactivating an owner, ensure all active accounting has been completed. Deactivating an owner with unfinished accounting activity may cause posting errors or transaction issues.
Inviting Owners to the Portal
You can send owners a welcome email during onboarding by sending an announcement. When owners are invited to create an account, they must verify their email address before gaining portal access. The email address used to create their portal account must exactly match the email listed on their contact profile page.
Incorrect Email Used During Signup
If an owner accidentally creates their account using a different email address, they may log in but not see any information. To fix this:
Add the email address they used for signup to their contact profile
Save the changes
This will link their account to the owner profile automatically. The owner may need to log out and back in again before the information appears correctly.
Why Different Owner Permissions Exist
Not all owners require the same level of detail or system visibility.
Many Propra clients prefer a simplified experience for unit owners to reduce confusion and keep attention focused on their specific unit and finances.
Propra’s owner permissions are designed to support these operational preferences while maintaining clear communication and secure access to information.
