What Appears on the Payables Page
All bills created in Propra will appear on the Payables page. This gives you full visibility into your outstanding and paid obligations.
Each bill includes the following details:
Posted Date: When the bill was created
Payee: Who the payment is owed to
Bill Number: For example, a maintenance request or case ID
Property/Unit: The associated property or unit
Owner: The owner tied to the property (important to verify accuracy)
Description: Details of the bill
Amount: Total bill amount
Due Date: When the payment is due
Balance: Remaining amount owed
Overdue Bills
If a bill is past its due date, a red indicator will appear showing how many days it is overdue.
Important: Expenses vs Bills
It’s important to understand the difference:
Bills → Appear on the Payables page and represent money that still needs to be paid
Expenses → Do not appear on this page because they indicate a payment has already been made
Expenses are automatically recorded in the General Ledger (GL) instead.
Filtering and Viewing Bills
You can easily organize and locate bills using filters:
Teams
Properties
Date ranges
Status:
Outstanding (unpaid bills)
Paid (completed payments)
Using the funnel icon beside the property filter will allow you to clear the filters
Using the checkbox selector on the left side, you can quickly take action on groups of bills:
Urgent Bills: Automatically selects overdue bills that require immediate attention
Funded Bills: Selects bills that are ready to be paid based on available property funds
Prioritizes overdue bills and those due soonest
Editing a Bill
To make changes:
Paying a Bill
To pay a bill:
Select the checkbox next to the bill
Choose one of the following options:
Post
Records that the payment was made outside of Propra
Process Payment
Available only if Autopay is enabled and the payee is set up
Initiates an actual payment transaction within Propra
If the Process Payment button is grey this means:
You do not have Autopay enabled
The Payee is not set up for Autopay
The property is not turned on in your Autopay settings
Payments are not turned on in your Autopay settings
Partial Payments
You can also make partial payments:
Select the bill and choose Post or Process Payment
Click the + icon
Double-click the amount to edit it
Enter the partial payment amount (e.g., $300 on a $500 bill)
The remaining balance will stay on the Payables page until fully paid.
Payment Details
When processing or posting a payment, you’ll see:
Payment Account (with available balance)
Posting Date (date the payment is made)
Payment Method
Batch ID (for tracking grouped payments)
Additional Tabs
Selected Payments
Shows all bills currently selected for payment. You can adjust payment amounts here.
Suggested Deposits
Displays recommended deposits for owners/properties, allowing you to deposit funds while making payments. Select the deposits and click on Post.
Finalizing Payments
After reviewing:
Select Post to record offline payments
Select Process Payment to initiate payments via Autopay
Once processed, the batch is sent to the Approvals Page, where a final accounting review is completed before funds are transferred through the bank.
You can export and share payment data easily:
Use the Export button (top right) to download the Payables list
Download the CPA005 file to process payments directly through your bank
