Accounting Monthly Review

Every month, Propra sets up your accounting period, checks your books for you, and gives you one place to review what's done, what's missing, and what still needs your attention.

See your whole month at a glance

On the last day of each month, the next month's review page is created automatically, named for the month and year, along with every task that applies to your account. You start each month with your checklist ready. A progress bar shows how much of the month is complete, and tasks are grouped into In progress, Upcoming, and Done.

Built-in checks do the legwork

Tasks like rent roll, condo fees, management fees, bill payments, and reconciliations check your books automatically and tell you exactly which units, owners, payees, or groups still need attention.

Know what needs attention first

Past-due tasks sit at the top with a count of what's still missing, followed by every other incomplete task and its quick actions. From there you can jump straight into the related workflow, like running your rent roll, without losing your place.

Review and act on a task in one panel

Open any task to see its property-by-property checklist, explanations for anything missing, and your notes.

Close out items in bulk

Mark every item on a task as Done, Missing, or Skipped in one step. Skipped items count toward completion but stay visibly separate from Done, so you always know what was intentionally set aside.

Make the list your own

Create custom tasks for this month only or for every month, and fill a checklist with a whole group, like all rental properties, in one step. Copy, edit, delete, or hide tasks to fit how your team works.

Built-in tasks

The tasks you see depend on your account setup and plan. Default due days are shown where they apply, and you can change them.

  • Residential Rent Roll (1st): checks that rent is posted for every lease active in the month, including prorated mid-month rent.

  • Commercial Rent Roll: checks that commercial rent is posted for the month.

  • Condo Fees: checks that condo fee invoices are posted for each unit.

  • Management Fees (8th): checks that management fees are charged for every eligible owner.

  • Apply Credits (10th) and Pay Bills (10th): check that credits are applied and bills are paid, listed by payee.

  • Income Payout (15th): checks that owner payouts are complete.

  • Unassigned Property Operating Bank Group Audit (25th): lists any property and owner without an operating bank group.

  • Account Reconciliation: checks that each reconciliation group was reconciled for the previous month.

  • Print Cheques, GST Remittance, Non-Resident Withholding Tax, and Close Period: track these month-end steps alongside the rest of your checklist.

Enterprise customers also have tasks for AI-assisted reviews:

  • Undeposited Funds Reconciliation (last day of the month, for Enterprise customers): checks that each property's undeposited funds balance clears to zero and explains anything that doesn't.

  • Income Payout Variance: compare balances for every property against the previous period

  • Security Deposit Variance: compare balances for every property against their leases

  • Condo Reserve Variance Reconciliation: compares the reserve liability and asset balances for every property

How to use

Open Monthly Review

1. Go to Accounting and select Monthly Review.

2. The current month opens by default. Use the month picker or the previous and next arrows to view another month.

3. The page refreshes automatically. Select Refresh to update it right away.

Review a task

1. Click any task row to open its review panel.

2. Check the checklist to see the status of each property or item.

3. For anything marked Missing, review what is missing to address any work needed.

Start the work form a task

1. In Needs attention, find the task

2. Select its open button to go straight to the related workflow, like posting rent roll.

3. Finish the work. When you return to the same month, the task shows it's running and the check updates automatically when it's done.

Update item statuses

1. Open the task's review panel.

2. Mark individual items as Done, Missing, or Skipped.

3. To update every item at once, use the bulk status control at the top of the checklist.

4. When asked, add or update a note explaining the outcome.

Add a note

1. Open the task's review panel.

2. Enter your note in the Notes field to record why work wasn't completed or anything special to note for that task during the period.

Change a due date

1. Open the task's review panel.

2. Select the due date and choose a new day of the month.

Run a past-due task now

1. Open a past-due task that hasn't started yet, or one that ended without finishing its work.

2. Select Run now

3. Confirm. The row shows its running status and updates automatically when it's done. Depending on the size of the task and number of properties, this can take 1 to 5 minutes.

Create a custom task

1. Select Add task

2. Enter a name and due date.

3. Add checklist items one at a time, or add a whole group, like all condo owners, in one step.

4. Choose whether the task is for this month only or repeats every month, then save.

Copy a task you created

1. Open a task you added yourself.

2. Open the Actions menu and select Copy.

3. Choose the month, give the copy a name, and pick which items to keep. Manual tasks can only be copied into periods that have already been created.

Customize your task list

1. Select Customize layout.

2. Hide or show tasks, add new ones, or edit and delete tasks you created.

FAQ

When is next month's cycle created?

On the last day of each month. Your tasks for the new month are created at the same time, so checks can run as soon as the related work is posted.

Which tasks will I see?

It depends on your account setup and plan. For example, condo tasks appear only for accounts with condo properties. You can hide any task you don't need and add your own.

Why is a unit showing as missing?

The check couldn't find the expected entry for that unit this month. Missing units are listed by unit name. Prorated mid-month rent counts, and leases that ended on the last day of the previous month aren't included.

How do the AI-assisted reviews work?

They review every property, and when balances don't match, they investigate the entries involved and write up what they found so that your enterprise team can help resolve any discrepancies.

If I change a due date, does it carry over to next month?

Yes. Your new due date is remembered for your account and used in future months.

What's the difference between Done and Skipped?

Both count toward your progress. Skipped means you've deliberately decided not to handle that item this month, so it stays labeled separately from work that was actually completed.

A past-due task shows 0% and hasn't started. What do I do?

Some tasks wait for related activity before they start. If that hasn't happened, open the task and select Run now to start it right away.

What happens if I undo an item on a task that's already Done?

The task moves back to In progress so your progress always reflects what's actually complete.

Can I edit or delete tasks?

You can edit, delete, and copy tasks you created. Built-in tasks can't be deleted.

If I start a rent roll from Monthly Review, will I lose my place?

No. You stay on the same month, the task shows that it's running, and it updates automatically when the work finishes.

Can I look at previous months?

Yes. Use the month picker or the previous arrow to review any earlier cycle.
