Campaigns - Reviewing and Accepting Applicants

Now that you have created and shared your campaign you can review and accept your applicants

Applicant Experience

When shared by email, the applicant receives an invitation link.

Application Flow

Applicants will:

  1. Click the link

  2. Create or log into their Propra profile

  3. Complete the application form

They will be asked to provide:

  • Personal details

  • Contact information

  • Emergency contact

  • Application preferences

  • Work history

  • Address history

  • Household details

Important – Co-Applicant Login

The application must be sent to one primary applicant only.

  • Do NOT send the main link to both applicants, if there is a co-signer that is to be on the lease, the primary applicant will be asked to add additional tenants in their application. This will send the linked application to the co-applicant and the two applications will be linked together which will allow you to send the lease offer to be signed by both parties.

  • Co-signers must use the same email the invitation was sent to for security verification.

Completion

Once submitted:

  • Applicants receive a confirmation

  • Uploaded documents are stored securely in the documents tab on the application

  • Once an application has been submitted it cannot be edited by either the applicant or the property management admin


Reviewing Applications

From the application dashboard, you can:

  • View all applicants

  • Change review statuses by clicking the status icons (Search icon for screening, Phone icon for reference checks, Happy, Neutral, or Sad face)

  • Organize candidates based on preference

For each applicant, you can:

  • Open the full application

  • Review uploaded documents by opening the applicant profile and clicking the Documents section

  • Add internal notes (entered inside the applicant profile, for example: “Income verified – employer confirmed full-time.”)

  • Use the SingleKey link for screening (secure third-party screening service for applicant verification, you receive a 15% partner discount when using this link)


Approving or Declining Applicants

Declining an Application

  • To decline an application select Decline Application in the bottom left corner

  • Select Confirm and Notify which will generate an announcement template to send to the applicant

  • Or, select Confirm which will change the status but not notify the applicant

  • When you click Confirm or after sending the notification;
    The applicant’s status is changed to Declined

Status Updates

  • Campaign status updates automatically:

    • Submitted

    • Approved

    • Declined


Sending a Lease

Once you approve an applicant, it’s time to create and send the lease.

Step 1: Choose how to create the lease

You have two options:

1) Create lease WITH offer (recommended)

This sends the lease to the applicant to review and sign online.

  • The system will pull the data from the application and the lease information

  • You send the lease form as an offer

  • The applicant reviews it

  • They sign digitally (They cannot edit the lease, they can only review and sign)

  • Once signed, it becomes a binding lease

Use this when:
You want the tenant to sign electronically inside Propra (most common workflow).


2) Create lease WITHOUT offer

This creates the lease for internal records only.

  • You create the lease

  • The lease is NOT sent to the tenant

  • No digital signature is collected

Use this when:
The lease is already signed outside Propra or for record keeping.


Step 2: Choose your lease type

You may use:

  • Propra's default lease

  • Your uploaded custom lease form

  • If you add multiple forms (ex: parking or pet), they will be attached as additional agreements


Step 3: Save as Draft (internal review workflow)

If someone on your team (for example, an assistant) is preparing the lease but the property manager needs to review and sign it, you can use Save Draft.

  • Click Save Draft instead of signing

  • The lease is saved but not sent

  • A manager can open it later

  • Review all details and click through the pages

  • Make changes if needed

  • Then sign and send it

Use this when:
An assistant prepares the lease and a manager must approve it before sending.

How to Review a Lease Draft

Once a lease draft is ready for review, navigate to the application and select Continue Lease Offer. You will be prompted to choose how you'd like to proceed — select Create Lease Offer to move forward with the lease document attached.

The lease will pre-populate with the details your administrator has already entered, so this step is your opportunity to review everything before it goes out. Click through each page and make any changes as needed — adjustments to dates, terms, or any other fields can be made at this stage.

Once you're satisfied with the details, the agreement will be prepared for signing. Add your signature and then send the lease offer to the applicant to complete their signature.


Step 4: Review and send

Once ready:

  • Property manager reviews the lease

  • Signs digitally

  • If using WITH offer, invites the tenant to sign


Step 5: Tenant signs

  • Tenant receives an email

  • Logs into their Propra portal

  • Reviews and signs the lease


Final step – Lease completion

  • A finalized PDF is generated

  • Lease is saved under:
    Unit → Lease Documents

  • Tenant also receives a copy


Once approved:

  • The listing automatically closes, no new applications can be submitted

  • Your new tenant is moved in


You’re All Set

Once the lease is signed and finalized, your campaign is complete and the listing is closed.

Now you have a new tenant.

Your lease documents are securely stored in Propra, and both you and your tenant have access to the signed agreement for your records.
