Overview
The Accounting Monthly Review page is your month-end checklist. It shows every accounting task for the month, checks your books automatically, and tells you exactly which properties, units, owners, payees or bills still need work.
Propra creates a review for each accounting month. For built-in tasks, Propra runs a check against your books and marks each item Done or Missing. You can then fix what is missing, override results by hand, skip items that don't apply, and leave notes for your team.
For example, the Residential Rent Roll task checks that rent was posted for every eligible lease. If unit 8 at a property has no rent posted, that property shows as Missing and unit 8 is listed underneath it, so you know exactly where to look.
Use this page to:
See your month-end progress at a glance.
Find missing rent rolls, condo fees, management fees, bill payments, payouts and other entries.
Drill down to the exact unit, owner, payee or bill that is outstanding.
Mark items Done or Skipped when work was handled another way.
Leave notes for whoever closes the month.
Add your own recurring month-end tasks.
Where to find it: Accounting > Monthly Review.
Access: Only users with Books permissions can access the Monthly Review page.
Understanding the page
Header
The header shows the month you are viewing and a status badge, such as Needs attention · 10 past due. Below it, a summary line tells you how many tasks are scheduled, done, in progress, upcoming and past due, and when the last period was closed.
Month picker: Select the month name to jump to any of the last 12 months, or use the previous and next arrows. You cannot move past the current month.
Refresh (↻): Updates the whole page with the latest results.
+ Add Task: Creates a custom task for the month you are viewing.
Monthly Progress
The progress card shows your overall completion percentage and a colour-coded bar:
Done (green)
Failed or past due (red stripes)
Skipped (purple)
In progress (orange)
Upcoming (grey)
The tiles beside it count tasks that are done, in progress and upcoming.
Task list
The main list groups tasks into three sections. Each row shows the task name, a progress ring, a count such as 80/88 properties · 8 missing, the due day and a status badge.
Section | What it shows |
In progress | Tasks Propra has started checking that are not 100% complete. |
Upcoming | Tasks that have not started yet. Rows say Awaiting properties, Awaiting owners or similar. If the due day has passed, the badge reads Past due. |
Done | Tasks that are 100% complete. Skipped items count toward completion. |
Needs attention and Still to do
Two panels on the right give you a to-do view, each with a button that opens the related workflow (for example Open Rent Roll or Go to Payables).
Needs attention lists past-due tasks that have not started yet.
Still to do lists every other open task, including tasks that are past due but already in progress, with how many items are still outstanding.
For example, if Condo Fees is due on the 1st and is 6% complete, it appears under Still to do with "16 outstanding," not under Needs attention.
Reviewing a task
Click any task row to open its review panel on the right. The rest of the page stays where it is.
What the panel shows
Task name and status (for example In progress or Past due).
Due badge with a pencil icon to change the due day. Tasks without one show Set due day.
Progress bar and count, for example 80/88 done · 8 missing · 1 skipped.
Header buttons: Restart (↻) or Run task now (▶), the Actions menu (⋮) and Close (✕).
Checklist: one row per property, owner, payee, bank account or checklist item, depending on the task.
Drilling into the detail
For tasks that check individual units or bills, each row has three small counters showing how many units (or bills) are done, skipped and missing. Click a counter to show only those items. Click the arrow on a row to expand it and see the exact units or bills underneath.
For example, under Residential Rent Roll, 1905 Complex might show 18 units done and 1 unit missing. Expanding it shows unit 8 — Missing. Under Pay Bills, a payee such as BC Hydro expands to show the specific unpaid bill, such as Internet.
A property, owner or payee shows as Missing if any one of its units or bills is missing. Missing items are listed after completed ones.
Understanding Missing items
Missing means Propra could not find the expected entry for that item in the selected month. For a missing rent roll, check whether:
The property is set up for automatic rent roll posting through Autopay.
If automatic posting is off, the property is on the recurring rent roll.
The rent roll still needs to be posted manually.
The lease or unit was active and eligible during the month.
For other tasks, check the related transaction, payment, reconciliation or setup.
Updating item statuses
Propra sets each item's status automatically from your books. You can override any result by hand. These manual changes are called manual ticks.
Status | Meaning |
Done | The work is complete for this item. |
Missing | The expected entry or work is still outstanding. |
Skipped | You decided not to complete this item this month (for example, it doesn't apply). |
Done and Skipped both count toward the task's completion, but Skipped items stay labelled separately so you can tell them apart from finished work.
Change one item
Open the task's review panel.
Find the property, unit, owner, payee or bill.
Click its status icon on the left. A Missing item becomes Done. A Done item becomes Skipped.
You can change a whole property or a single unit inside it.
Change every item at once
At the top of the checklist, use:
Mark All Done to mark every item Done.
Skip All to mark every item Skipped.
Undo your manual changes
To go back to Propra's automatic results, open the Actions menu (⋮) and select Mark all not done. This clears your manual ticks and restores what Propra detected in your books.
If you change an item on a task that was already Done, the task moves back to In progress so the progress always matches the checklist.
Working on a task
Open the related workflow
Every task links to the page where the work is done. Use either:
The button beside the task under Needs attention or Still to do (for example Open Rent Roll, Go to Payables or Open Income Payout).
The Actions menu (⋮) in the review panel > Open [workflow].
Complete the work, then return to Monthly Review. The task stays tied to the month you were viewing.
Run a task that hasn't started
Some tasks wait for related activity before Propra checks them. These show 0% and Awaiting properties (or owners, or reconciliation groups). If one is past due:
Open the task.
Select Run task now (▶) in the panel header.
Confirm that you want to start it.
The task shows that it is running and updates when it finishes. This can take about 1–5 minutes, depending on the task and number of properties.
Restart a task
Once a task has started, the ▶ button becomes Restart (↻). Use Restart to re-run Propra's check after you've finished accounting work, so the checklist shows the latest results.
Add a note
Notes are saved on the task, for whoever closes the month.
Open the task's review panel.
Select the Actions menu (⋮) > Add note.
Type your note in the Notes box that appears at the top of the panel.
Use notes to explain why items were skipped, what is still outstanding, or anything another team member needs to know.
Change a task's due day
Open the task's review panel.
Select the pencil icon beside the Due badge (or Set due day if the task has none).
Enter the new day of the month.
Your updated due day is remembered for your account and used in future months.

Custom tasks
Add your own tasks for month-end work the built-in checklist doesn't cover. Custom tasks work like built-in ones, but you tick items off by hand.
Ideas for custom tasks:
Forward e-transfers to Propra.
Balance the clearing account to $0.
Complete the end-of-month dashboard review.
Upload all utility bill statements.
Record all late fees.
Review insurance expiries.
Schedule property inspections.
Transfer management fees to the operating bank account.
Create a custom task
Go to the month you want the task in, then select + Add Task.
Enter a Task name.
Under Checklist, choose one:
Write the checklist myself — type each item, selecting Add item for more.
One line per property — then choose Which properties: Every property, Rental only, Condo only or Commercial only. Propra adds one checklist line for each.
Choose a Due day, or turn on Due on the last day of the month.
Turn on Repeat this task every month if it should come back each month.
Select Add Task.
The task appears in the month's list alongside the built-in tasks.
Manage a custom task
Open the task, then select the Actions menu (⋮):
Option | What it does |
Edit | Change the task name or checklist. |
Copy | Duplicate the task into another month. Choose the month, enter a name, select which checklist items to keep, then save. |
Add note | Leave context for whoever closes the month. |
Mark all not done | Clear all ticks on the task. |
Remove task | Remove the task from this month only. Available for custom tasks only. |
Frequently asked questions
A task is past due but shows 0%. Is something broken? No. The task hasn't started because Propra is still waiting for related activity. Open it and select Run task now (▶).
I posted the missing rent, but the task still says Missing. Open the task and select Restart (↻) to re-run the check, or select Refresh at the top of the page.
Why is a past-due task under Still to do instead of Needs attention? Needs attention only lists past-due tasks that haven't started. Once a task is in progress, it moves to Still to do.
I marked items Done by mistake. How do I undo it? Open the Actions menu (⋮) and select Mark all not done to go back to Propra's automatic results.
Do skipped items count toward completion? Yes. Done and Skipped both count, but Skipped items stay labelled separately.
Can I see older months? Yes. Select the month name to choose any of the last 12 months.
When does next month's review appear? Propra creates the next month's review on the last day of each month.
