Learn how to use the Propra Manager App for on-site property management. Access property, unit, and lease information, complete inspections, scan bills, view listing QR codes, manage communications, and stay connected while working in the field.

Manager App

The Manager App is designed for property managers and inspectors who need access to important property information while working on-site.

The app is available through Apple or Android and provides quick access to property details, lease information, inspections, listings, and other field operations.

Who Can Use the Manager App?

Authorized Users who are listed in the propra.app desktop can access the Manager App by logging in.

If a user is assigned the Inspector role, they will only have access to the Manager App and will not have access to the desktop version of Propra.

This allows inspectors to complete their on-site tasks without needing access to the full management platform.

If a user is on a team they may only have access to that teams portfolio.

Property List

When you log into the Manager App, you will see a list of properties that you have access to.

Selecting a property allows you to view important information and complete tasks related to that property.

Property, Unit, and Lease Information

The Manager App provides access to property, unit, and lease details while you are on-site.

You can quickly view:

  • Property information

  • Unit information

  • Lease details

  • Tenant contact information

  • Operators assigned to the property

  • Suppliers and contractors assigned to the property

Having this information available while in the field helps property managers answer questions and access important records without returning to the office.

To view the units click on the property.

To view the Lease, click on the unit.

Viewing Unit Details

When viewing a unit in the Manager App, you can select Unit Details to access additional information about the unit. Click on the Unit Details dropdown arrow to view the information.

This may include:

  • Number of bedrooms

  • Number of bathrooms

  • Key assignments

  • Locker assignments

  • Parking assignments

Having this information available on-site allows property managers and inspectors to quickly answer questions and verify unit details.

Viewing Tenant Information

Selecting the tenant's name will open their contact profile.

From here, you can view:

  • Tenant contact information

  • Phone numbers

  • Email addresses

  • Emergency contact information

This makes it easy to contact residents or their emergency contacts when needed.

Reviewing Rent Information

Selecting the rent amount will display a detailed breakdown of the lease charges.

This allows you to see:

  • Base rent amount

  • Parking charges

  • Pet fees

  • Storage fees

  • Other recurring monthly charges

This information is useful when answering resident questions about their monthly payments.

Viewing Utilities

Selecting Utilities & Amentities will show the list included in the lease agreement.

For example, you can quickly verify if the following are included while doing an inspection or need to contact a supplier:

  • Water

  • Heat

  • Electricity

  • Fridge

  • Window Coverings

Contacts Tab

The Contacts tab provides quick access to everyone associated with the property or unit.

This may include:

  • Property owners

  • Assigned staff members

  • Suppliers

  • Contractors

This allows field staff to quickly locate the correct contact while on-site.

Search Lease and Tenant Details

The search tools allow you to quickly locate information related to a tenant or lease.

For example, you can search for:

  • License plate numbers

  • Lease holder details

  • Tenant contact information

  • Other lease-related information

This can be especially useful when managing parking, inspections, or resident inquiries.

Viewing Lease History

The Manager App allows you to view all leases associated with a unit, giving you a complete history of occupancy.

You can review:

  • Past Leases – Previous tenants who occupied the unit

  • Current Lease – The active tenant and lease details

  • Upcoming Leases – Future tenants who are scheduled to move in

This information is especially useful when:

  • Preparing for move-ins and move-outs

  • Reviewing tenant history

  • Confirming future occupancy

  • Answering owner or resident questions

  • Verifying lease dates while on-site

Having access to lease history in the field allows property managers and inspectors to quickly understand the occupancy timeline of a unit without needing to return to the office.

Listings Tab

If the unit has an active listing, the Listings tab will display the listing information.

From here, you can:

  • Display the listing QR code for prospective tenants to scan

  • Allow applicants to begin their application immediately

  • Enter an email address to send the listing directly to a prospective tenant

This is especially useful during property showings and open houses, helping applicants apply quickly while viewing the property.

Completing Inspections

The Manager App is where inspections are completed.

Supported inspection types include:

  • Move-In Inspections

  • Move-Out Inspections

  • Routine Inspections

Inspection information is saved directly to the property record, creating a complete history of property condition reports. To start an inspection go to the unit, confirm the correct tenant and lease, then select Begin Inspection.

Bill Scanning (Professional Plan)

Users on the Professional Plan have access to the Bill Scanning feature.

To scan a bill:

  1. Select the Bill Scanning icon.

  2. Use your phone camera to scan the bill.

  3. You can scan another device or paper.

  4. Scan one bill at a time.

  5. Click Next to submit the scan.

The system recognizes your user account and automatically links the bill to your company's Propra account.

Propra will then attempt to identify information from the bill, including:

  • Property address

  • Supplier or payee

  • Dates

  • Invoice details

  • Other relevant information

The scanned bill can then be reviewed and processed within Propra.

Manager Inbox (Enterprise Plan)

Users on the Enterprise Plan have access to the Manager Inbox within the Manager App.

This allows managers to stay connected and manage communications while working away from their desk.

App Settings

You can customize the Manager App to suit your preferences by clicking on your Profile icon in the top right corner.

Available settings include:

  • Light Mode

  • Dark Mode

  • Enable Notifications

  • Disable Notifications

Keeping notifications enabled can help ensure you are aware of new activity while working in the field.

Manual Sync Icon

After completing an inspection, the Manager App must sync the inspection data back to Propra.

For the sync to complete successfully:

  • The app must remain open

  • Your device should not lock or go to sleep

  • You should maintain an internet connection whenever possible

The amount of time required to sync will depend on the size of the inspection, including the number of photos taken during the inspection.

When to Use the Manual Sync Icon

Sometimes a sync may pause or fail to complete if:

  • You move through an area with poor cellular service

  • Your internet connection is interrupted

  • The app is closed before syncing is finished

  • Your device locks or goes to sleep

If this happens, you can select the Manual Sync icon to restart and complete the sync process.

Support Assistance

Our Customer Success team actively monitors inspection synchronization activity.

If we detect that an inspection has started syncing but has not completed successfully, a member of our team may contact you and ask you to select the Manual Sync icon to finish uploading the inspection.

This helps ensure your inspection reports, notes, and photos are successfully saved to the property record.

Best Practice

To avoid sync issues:

  1. Complete the inspection.

  2. Leave the Manager App open.

  3. Wait for the sync to finish before closing the app or locking your device.

  4. If the sync does not complete, use the Manual Sync icon to resume the upload.

Following these steps will help ensure all inspection data and photos are properly recorded in Propra.
