Manager Inbox (Enterprise)

Learn how to use the Manager Inbox in Propra Enterprise to send messages, respond to RFIs, manage notifications, and track message statuses with the accounting team.

The Manager Inbox is your main communication hub for working with the Enterprise accounting team in Propra.

This is where you will:

  • Send and receive messages

  • Respond to RFIs (Requests for Information)

  • Upload required documents

  • Track the status of requests


Where to Find the Manager Inbox

You can access the Manager Inbox from the left-hand menu:

Communications → Inbox

This will take you to your main inbox where you can view, send, and respond to messages with the Enterprise accounting team.



Important: Message Limitations

  • Messages cannot be deleted from your side

  • Only the Enterprise team can archive messages

  • Archived messages will no longer appear in your inbox but can be found in the Archived tab


Sending a Message

To send a new message:

  1. Click New Message

  2. Select Enterprise as the recipient

    • This sends the message directly to the accounting team

  3. Enter a subject line

  4. Type your message

You can format your message using:

  • Bold

  • Italic

  • Bullet points

  • Numbered lists

You can also:

  • Add attachments

  • Insert links

Messages function like a conversation thread where the Enterprise team can reply directly.


Who Can See Messages?

  • If sent to everyone → all users on your team can see it

  • If sent to a specific user → it will go to the specific users inbox but also be visible to the team

Message Views

  • My Threads – Messages you have started

  • My Name – Messages sent directly to you

  • Company Name – Shared inbox for your team

  • Archived – Messages archived by the Enterprise team


Subscribing to Messages (🔔 Bell Icon)

The bell icon allows you to subscribe or unsubscribe from a message.

  • Subscribed → You are responsible for the message and will receive notifications

  • Unsubscribed → The message is visible to your team instead


Mark as Read or Unread (✉️ Envelope Icon)

  • Mark messages as read or unread to help manage your workflow


Refresh Messages (🔄)

  • Use the refresh icon to reload and see the latest updates


Notifications

You can manage notifications by going to:

My Profile → Notifications → Inbox

Options include:

  • All message notifications

  • Only messages for your team

  • Only messages assigned to you

  • All inbox messages


Understanding RFIs (Requests for Information)

An RFI is a request from the Enterprise team asking for specific information or documents needed to complete your accounting.


RFI Fields You May See

When responding to an RFI, you may be required to complete different types of fields:

  • Checkbox – Confirm completion

  • Select – Choose from a dropdown

  • Text – Enter written responses

  • Date – Select a date

  • Signature – Enter your name

  • Document – Upload a file

  • Number – Enter a numeric value


“Needed By” Date

Each RFI includes a Needed By date.

This is the deadline for submitting your information.

Meeting this deadline is critical because:

  • It allows the Enterprise team to complete accounting on time

  • Missing deadlines may impact payment dates and reporting timelines


Message Statuses

Messages will update status as they progress:

  • Unread – Message has not been opened

  • Responded – A reply has been submitted

  • Returned ⚠️

    • The document or information provided was incorrect

    • You will need to resubmit with the correct information

  • Completed / Satisfied

    • The Enterprise team has reviewed and approved the submission

    • The RFI is complete


Key Things to Remember

  • You can only send messages to the Enterprise team (not internally)

  • Messages act like shared threads for collaboration

  • Pay close attention to Needed By dates

  • Watch for Returned status and resubmit quickly if needed

  • Use subscriptions (🔔) to stay accountable for responses
