The Portfolio Disbursement Report provides a high-level summary of owner balances and available funds across your portfolio. This report helps you understand how owner funds have been affected by revenue, expenses, reserves, prepayments, and owner payouts while providing a clear picture of each property's current financial position.

This report is commonly used to review owner balances, verify available funds before processing payouts, and understand how portfolio activity impacts ending bank balances.

What Does This Report Show?

The Portfolio Disbursement Report displays a summary for each property and owner, including:

  • Property

  • Owner

  • Beginning Bank Balance

  • Revenue Received

  • Management Fees Paid

  • Other Expenses Paid

  • Reserve Amount

  • Prepayments

  • Outstanding Bills

  • Owner Payout

  • Ending Bank Balance

Each row represents the financial position of a property and owner based on the selected reporting period.

Understanding the Columns

Beginning Bank Balance

The bank balance at the start of the reporting period.

Revenue Received

The total revenue received during the reporting period, such as rent payments and other income.

Management Fees Paid

The management fees that have been charged and paid during the reporting period.

Other Expenses Paid

Expenses that have been paid from owner funds during the reporting period.

Reserve Amount

Funds being held in reserve and not available for owner disbursement.

Prepayments

Amounts that have been collected but are intended for future periods.

Outstanding Bills

Bills that have been entered into the system but have not yet been paid.

Owner Payout

The amount currently available to be paid to the owner based on the property's financial activity.

Ending Bank Balance

The remaining bank balance after all revenue, expenses, reserves, prepayments, outstanding bills, and owner payouts have been considered.

If an owner payout has already been processed, that payout will already be reflected in the Ending Bank Balance calculation.

When to Use This Report

The Portfolio Disbursement Report is useful for:

  • Reviewing owner balances before processing payouts.

  • Understanding available funds by property and owner.

  • Monitoring reserves and outstanding bills.

  • Identifying properties with negative balances or funding shortages.

  • Reconciling owner disbursements.

  • Reviewing the overall financial position of your portfolio.

Report Totals

At the bottom of the report, totals are displayed for each financial column, providing a portfolio-wide summary of:

  • Beginning Bank Balance

  • Revenue Received

  • Management Fees Paid

  • Other Expenses Paid

  • Reserve Amounts

  • Prepayments

  • Outstanding Bills

  • Owner Payouts

  • Ending Bank Balance

These totals allow you to quickly review the overall financial position of your portfolio and verify that owner funds, expenses, reserves, and available balances align with your expectations.

Important Notes

  • Owner payouts shown on the report represent the current payout amount available at the time the report is generated.

  • Outstanding bills reduce the funds available for owner disbursement.

  • Reserve amounts are excluded from available owner funds.

  • If owner payouts have already been processed, they are reflected in the Ending Bank Balance.

  • Totals at the bottom of the report provide a summary across all properties and owners included in the report.

The Portfolio Disbursement Report provides a valuable snapshot of owner funds and portfolio cash positions, helping you make informed decisions about owner payouts and property finances.
