Overview
Shared Owner Access on propra.io allows property owners to grant access to their portal accounts to additional users. This feature is particularly useful for joint rental property owners, condo boards, and individual condo unit owners who need shared access to property management data.
Key Features
Share Access to the Owner Portal: Owners can grant access to specific users to help manage their properties.
Primary Owner Control: The primary owner has full authority to add or remove shared users from their portal account.
Page Permissions: Access is granted for specific pages within the portal, including these tabs:
Assets
Maintenance
Announcements
Documents
Billing
Manager Visibility: Property managers can monitor who has portal access, what pages they can view, and what role the primary owner has assigned them.
How to Invite a Shared User
Primary owners can invite others to access their portal account by following these steps:
Navigate to Settings in the owner portal propra.io.
Select Shared Access and click "Add Shared User".
Enter the name and email of the user.
Choose which properties the shared user will have access to.
Click Send Invitation.
The invited user will receive an email prompting them to sign up for a portal account using the provided email address.
Shared User View
Shared users must create their own portal account with the email provided by the primary owner.
Their portal navigation will be limited to the pages they have been granted access to.
Billing Access: To view financial transactions or expenses, the shared user must have explicit access to the Billing page.
Condo/Strata Boards
Managers can enable condo board members to access the portal by setting up a primary email for the condo’s main portal account and then adding each board member as a shared user.
The shared user experience will remain mostly the same, but board members can see data beyond individual unit information.
In the Billing page, users can switch between viewing their personal financial details and the property’s overall financials.
As board members change, access can be updated or revoked by the primary owner under Settings > Shared Access.
Manager Web - Owner Information
Property managers can view portal access details for each owner, including:
The shared user’s email.
The properties the shared user has access to.
The specific pages the user can navigate.
The assigned role of the shared user.
Managing Shared Access
Primary owners can manage access for shared users by navigating to Settings > Shared Access:
Modify Permissions: Adjust which pages a shared user can access.
Revoke Access: Remove users who no longer need portal access.
Update Board Members: As condo board members change, new members can be added, and previous members can be removed.
