Condominium / Council Boards

Keep track of your condo or strata corporation's board of directors and give each member portal access to the property for as long as their term lasts.

Feature highlights

One place for the whole board. A Board (Council) section on each condo or strata property lists every member with their position, term dates and status, so you always know who's on the board today.

Portal access that follows the term. Board members automatically see the property in their resident portal when their term starts and lose access when it ends. There's nothing to remember to switch on or off.

You choose what the board sees. Set board permissions once for the corporation (documents, requests, property details and billing), and every active member gets the same access.

Owners or their contacts. Add a unit owner or one of their contacts, such as a spouse or representative, as a board member.

Connected owner records. An owner's record shows which boards they sit on, with a link straight to each board, and every row on the board links back to the member's record.

How to use

Open the board for a property

1. Go to Properties and open your condo property.

2. Open Property details.

3. Select Board/Council in the side menu.

Add a board member

1. On the Board section, select Add board member.

2. Pick a person. Unit owners in this property appear first, followed by contacts of the corporation and of those owners.

3. Choose a Position: President, Vice president, Treasurer, Secretary, Director or Other. If you pick Other, type your own title.

4. Set the term. Use a preset to fill the dates, or enter a start and end date yourself. The start date defaults to today, and you can leave the end date open.

5. Select Save.

Edit, end or remove a member

1. Open the menu at the end of the member's row.

2. Select Edit to change their position or term dates.

3. Select End term when someone steps down. Their term ends today and their portal access is removed.

4. Select Remove only to delete a member added by mistake.

See past board members

1. On the Board section, turn on Show ended.

Choose what the board can see

1. On the Board section, select Board settings.

2. Check or uncheck Documents, Requests, Property details and Billing.

3. Select Save. The change applies to every active board member.

Find board details on an owner's record

1. Open the corporation's owner record and go to the **Contact** tab.

2. For a condo corporation, the Board block lists its current and upcoming members. Select Manage on the property name to open the full board.

3. For a unit owner, the Board memberships block lists every board they sit on. Select a row to open that board.

## FAQ

Why don't I see the Board option on my property?

Board appears only on condominium properties where at least one unit is owned by someone other than the corporation. Check that the property type includes condominium and that your unit owners are set up.

What do the portal labels on each row mean?

Sharing means the member can see the property in their portal now. Invite sent means they haven't signed in yet. Starts with a date means their term hasn't begun. No email means they need an email address before they can get access. Revoked means their access has ended.

I just added a member and their access still looks pending. Do I need to refresh?

No. Access usually takes a few seconds to set up, and the row updates on its own when it's ready.

Can I add someone who doesn't have an email address?

Yes. They'll appear on the board, but they won't get portal access until you add an email address to their record.

What happens when a member's term ends?

Their portal access to the property is removed automatically on the end date, and their status changes to Ended. They stay in your board history, which you can see with Show ended.

What can board members see by default?

Documents, requests, property details and billing are all on by default. You can turn any of them off in Board settings.

Can one owner sit on more than one board?

Yes. Their owner record lists each board separately, with a link to each one.
