The Books User permission provides limited access to Propra's accounting features. It is designed for team members who need to complete day-to-day accounting tasks but do not need access to accounting controls, settings, or approval functions.
What Can a Books User Access?
A Books User can complete routine accounting tasks, including:
Entering bills
Entering expenses
Entering invoices
Processing receivables and payables
Posting receivables as paid
Posting payables as paid
Running income payouts
Running management fees
Running rent rolls
Completing other available day-to-day accounting tasks
Autopay
Books Users can process Autopay deposits and payments. These transactions are sent to the Approvals page for someone with the appropriate approval permission to review and approve.
A Books User cannot approve Autopay deposits or payments.
Scans
Books Users can review scans but cannot approve scans.
What Can a Books User Not Access?
Books Users have limited accounting access and cannot perform accounting actions that require higher-level permissions.
They cannot:
Reconcile accounts
Create journal entries
Approve charges or deposits
Edit accounting entries
Delete accounting entries
Approve Autopay deposits
Approve Autopay payments
Approve scans
Accounting Settings
Books Users also do not have access to certain accounting settings, including:
Financial Settings
Bank Details
Autopay Settings
Chart of Accounts
Payroll Expense Accounts
Liability Accounts
They cannot add or edit accounts within the Chart of Accounts, Payroll Expense Accounts, or Liability Accounts.
Who Should Have Books User Access?
Books User is intended for team members who need to process routine accounting work but should not have the ability to change accounting records, reconcile accounts, manage accounting settings, or approve transactions.
If a team member needs additional accounting access, assign the appropriate higher-level Books permission instead.
