The User permission gives team members access to the day-to-day property management features they need to manage properties, tenants, owners, leases, and requests.
A User can complete many administrative tasks in Propra, but does not have access to accounting features and cannot make changes to the account settings.
What Can a User Access?
Users can access the following areas of Propra:
Dashboard
The Dashboard gives Users access to important upcoming tasks and information, including:
Lease expiries
Insurance expiries
Violations
Move-ins and move-outs
Documents requiring signatures
Suppliers
Users can view and manage the Suppliers list, including supplier information needed for day-to-day property management.
Operators
Users can access the Operators list and manage operator information and assignments.
Requests
Users can access and manage Requests, including maintenance and other property-related requests.
Properties and Leases
Users can access Properties and Leases to review and manage property and lease information.
Tenants
Users can access tenant profiles and manage tenant information.
From a tenant's profile, Users can also access the Financial tab.
Owners
Users can access and manage Owner information and profiles.
Communications
Users can access Propra's available communication features to communicate with tenants, owners, and other contacts.
Listings
Users can access and manage Listings, including property and unit listings.
Collections and Payables
Users do not have access to Propra's accounting features. However, they can view the Collections and Payables pages.
These pages allow Users to see:
Outstanding collections
Outstanding payables
The person or company associated with the outstanding amount
Users can select an item from these pages to open the associated payee's profile and review their information.
Note: Being able to view Collections and Payables does not give a User access to Propra's accounting features.
Financial Information on Tenant Profiles
Although Users do not have access to accounting, they can access the Financial tab within a tenant's profile.
From the Financial tab, a User can:
Enter or update banking information
View unpaid invoices
View paid invoices
Review the balance on the tenant's account
Record a one-time charge, such as a late fee
Record a deposit or payment received in person, such as a cheque or cash payment dropped off at the office
These tools allow Users to keep tenant information and payment records up to date without giving them access to the full accounting system.
Adding Accounting Access
If a team member needs access to accounting, you can add one of the available Books permissions to their profile.
A User does not need more than one accounting permission. Choose the Books permission that matches the level of accounting access they need.
Available accounting permissions include:
Books User
Books Reporter
Books Advanced
Books Admin
Adding one of these permissions gives the User the corresponding level of accounting access while keeping their existing User permission for administrative tasks.
