Understanding the Difference Between Unit Owners and Property Owners in Propra

Property and Unit Owner Differences

Propra supports two types of ownership roles in the system, which are property owners and unit owners. Each role has different permissions and visibility within the platform.

What’s the Difference?

Property Owners

Toggle the "Owns Property" button:

  • Property owners are individuals or entities who own an entire property (e.g., an apartment building, a full rental complex, or a house).

  • They are typically involved in high-level oversight and may require detailed financial and operational reports.

  • On propra.io, property owners can see broader property-level information, including:

    • Full maintenance request logs

    • Expenses related to their property

    • Documents related to the overall property

  • A property owner is also the owner of any unowned units in the property

Unit Owners

  • Unit owners are individuals who own a specific unit within a larger property, common in condominiums, townhomes, or stratified buildings.​

  • They typically only see information related to their specific unit.
    ​​

What Can Unit Owners See on propra.io?

Currently, unit owners can access the following:

  • Lease and billing information for their unit

  • Maintenance requests they or their tenants have submitted

  • A summary of request statuses

    However, unit owners do not currently see:

  • Internal notes or resolutions attached to maintenance requests

  • Full property-level documentation or financials

This limited view helps streamline communication and avoids overwhelming unit owners with operational details.

Why the Difference?

Not all owners require or request the same level of detail. A unit owner who resides in their unit doesn't need to see lease information or expenses related to their unit that was incurred by the condominium corporation. A property owner requires a higher degree of information.

Accounting Entries and Owners

Every accounting entry is recorded under a property and it's owner. If there is an owner on a unit that is different from the property, then the transactions will get created accordingly.

Owner Occupied Units

The accounting entries that are created for owner occupied unit are most often monthly condo or strata fees that the unit owner needs to pay the condominium or strata corporation.

  • The Payee is the unit owner

  • The Property / Owner is the condominium property and the legal corporation that owns the property

Leased Units

The accounting entries that are created for leased units are most often rent charges that a tenant needs to pay the owner.

  • The Payee is the tenant

  • The Property / Owner is the the owner of the property for unowned units or the unit owner if that is set separately

Do not add a separate unit and property owner unless the property owner is a condo/strata corporation or you want to track financial transactions for each unit owner separately from the property owner
